Onboard a Client Brand

Use this workflow when an agency, MSP, or platform operator adds a new brand or customer.

Before you start

Decide whether the brand needs:

  • A separate workspace or tenant.
  • Its own sending domain.
  • Mailboxes or only outbound sending.
  • A dedicated delivery profile or shared tenant default.
  • A dedicated IP or shared pool.

Steps

  1. Switch to or create the correct workspace.
  2. Add the brand's domain in Sending > Domain.
  3. Copy DNS records from the PING8 modal.
  4. Ask the domain owner to add A, MX, SPF, DKIM, and DMARC records.
  5. Coordinate PTR/rDNS with the server or IP provider when the brand uses a dedicated outbound IP.
  6. Verify DNS inside PING8.
  7. Create sender addresses and mailboxes if inbound/webmail is needed.
  8. Create groups, tags, and suppression rules for the brand.
  9. Create templates with the brand name, footer, and unsubscribe copy.
  10. Send one test email to an owned mailbox.
  11. Review operation logs and delivery analytics.

What success looks like

  • Domain status is verified.
  • The brand has a tested sender.
  • The correct delivery engine is selected.
  • Logs show the setup actions.
  • A one-recipient send produces lifecycle telemetry.

Common mistakes

  • Mixing multiple clients in one workspace when they need isolation.
  • Copying DNS values into the wrong DNS zone.
  • Leaving duplicate SPF or DMARC records.
  • Launching campaigns before the client approves unsubscribe and footer language.
